This systemic design project focused on helping Wijkplaats Amazone to communicate more efficiently internally, providing a platform which they can use to organize day-to-day planning, record minutes and notes from meetings as well as keep each other up to date. In turn, this cooperation should build consistency and a level of trust with outside parties

To design a reliable and easy to use system for workers of the Wijkplaats Amazone to communicate internally and record important information, without spending a lot of time after meetings entering information manually. The current system is difficult to find and time intense to use. The situation is made complex through the amount of people involved and the personal nature of information being recorded.

Roots of Amazone, a system that helps to easily formulate the core of conversations and keep colleagues informed of the latest developments. Thanks to Roots of Amazone, professionals are already well-informed about current events, preventing duplicate questions and increasing trust among visitors.

Research

Given the short time frame of the project, research was done in two primary phases. Interviews with clients regarding the requirements of the systems involved, and a co-design session with professionals from the Wijkplaats Amazone, other healthcare professionals within the healthcare centre and members of the local community.

The interviews I conducted gave us information regarding the requirements of the system. It allowed us to check the feasibility of different hosting platforms, with the final choice being made for Notion, as it provided the best overall experience for the customer. In addition it was the only feasible option that allowed automation of databases, something that was key requirement from the client to eliminate manually entering information after every meeting.

Design

Our research and the clients brief indicated a need for automation of manual tasks such as data entry. We designed a database that enables workers of the Wijkplaats to enter data once, then select it from dropdown menus, greatly reducing the amount of time spent manually entering information. As a result, workers are able to focus on more important tasks that benefit themselves and the client.

Our design required different level of access to the system, depending on the role of the person accessing the information. Below is a map of the different role allocation and system privileges I helped design. A clear division between responsibilities and access levels gave the client a level of trust in the system.

The primary deliverable was a fully customized notion page will fully integrated automation, that allows the client to manage information, record notes and keep each other up to date. As a result, less time is spent manually entering information. Creating a system that is easy to easily accessible lowers the barrier of entry, making it more likely that the system is used.

The client expressed that they found it difficult to motivate all colleagues to write down notes and information. Using social engineering, we designed an intervention, asking all participants to sign, in front of their colleagues, their commitment to upholding their commitment to communicating using the Roots of Amazone.
